Welcome to PolarTie. These Terms of Use ("Terms") govern your access to and use of the PolarTie platform, services, applications, and software (collectively, the "Service"). By accessing or using PolarTie, you agree to comply with and be bound by these Terms.

1. Acceptance of Terms

By using PolarTie, you confirm that you are:

  • At least 18 years old (or of legal working age in your jurisdiction)
  • Authorized to represent the organization you register
  • Agreeing to use the Service in compliance with all applicable laws and regulations

2. Description of Service

PolarTie provides a SaaS platform for building, deploying, and managing:

  • AI Agents and Live Agents for customer-facing communication
  • Applications embedded in web pages, mobile devices, and kiosks
  • Dashboards for monitoring, call management, knowledge configuration, and reports

Services may be accessed through PolarTie-hosted applications or through integrations with third-party systems (e.g., CMS, eCommerce, kiosk systems).

3. User Accounts & Access

  • Access is granted via passwordless authentication (magic links or SSO)
  • Users must not share access credentials or impersonate others
  • Organizations are responsible for managing roles (Owner, Manager, IT Admin, etc.)
  • Misuse or unauthorized access may result in suspension or termination.

4. Intellectual Property

All content, software, and branding within PolarTie are the exclusive property of PolarTie, unless otherwise stated.

You retain ownership of:

  • Uploaded knowledge, files, and prompts
  • Custom configurations and agent scripts

You grant PolarTie a non-exclusive license to use uploaded content only for the operation of your services within the platform.

5. Payment & Billing

  • All subscriptions are billed monthly in advance
  • You may increase or decrease licenses at any time
  • Charges are calculated with prorated adjustments during billing cycles
  • All transactions are securely processed by Stripe
  • Failure to pay may result in suspension of access or removal of agents and applications.

6. Data & Privacy

Use of PolarTie is subject to the Privacy Policy, which explains how we handle data, security, and compliance.

You are responsible for:

  • Ensuring uploaded content does not contain sensitive personal information unless explicitly permitted
  • Managing consent and transparency with your own customers where applicable

7. Acceptable Use

You agree not to:

  • Use AI or Live Agents for harassment, misinformation, or illegal purposes
  • Attempt to reverse engineer or disrupt PolarTie systems
  • Interfere with the performance or availability of the service for other users

Violation of this section may lead to immediate termination of service and potential legal action.

8. Service Availability

PolarTie strives to maintain continuous availability, but we do not guarantee 100% uptime. Scheduled maintenance, system updates, or third-party outages may result in temporary downtime.

We provide notice of critical changes whenever possible.

9. Modifications

PolarTie may update or modify these Terms at any time. Updated versions will be posted with an effective date.

Continued use of the Service after changes constitutes acceptance of the new Terms.

10. Termination

You may cancel your subscription at any time. PolarTie reserves the right to suspend or terminate access for violations of these Terms or non-payment.

Upon termination:

  • Your data may be deleted unless otherwise specified in the Privacy Policy
  • You remain responsible for outstanding fees incurred prior to termination

11. Governing Law
